Hi, I'm Victoria, founder of A Touchy Subject. This is a YouTube product review video day. For some reason my mic and phone weren't working...

I'm looking for a very organised, detail-oriented person who loves AI and a good checklist to take over the admin, inbox and content systems that currently eat up my week.

This is a hands-on role. I currently run the business solo, and you'll be running our systems yourself.

That frees me up for more high-impact tasks such as YouTube videos, conference talks, and reopening my one-on-one coaching practice.

ABOUT THE BUSINESS

We're a sexual health education and online resource hub.

We support men and their partners navigating sexual function and quality of life changes after prostate cancer treatment. We're all about normalising the touchy subjects and easing the stress and shame of a really challenging and isolating time.

Most of our focus goes into The Hub, our paid membership community, with over 500 members worldwide. It helps people piece together their rehabilitation and gives them a supportive, switched-on community, so they're no longer wasting time and money trying to work it all out alone.

HOW THIS ROLE ACTUALLY WORKS

I've built a set of AI systems that take the heavy lifting out of the production side. Assembling drafts from my own material, pulling timestamps, formatting, and first-pass admin.

They save a lot of time… and sometimes they get things wrong!

So the job is the judgment that comes afterwards. Checking every fact. Catching what the system got wrong. Editing until it has our tone of voice. Knowing what should never go near an AI tool in the first place (particularly important in this context, given member privacy).

The things that need to be me stay me: I write every forum reply myself, I answer the personal and member emails myself, and I'm the one on camera. What I need is someone to run everything around that and do the detailed work properly before it comes to me.

Anything personal, emotional or clinical that lands in the general inbox comes straight to me. You're never making a clinical call.

WHAT YOU'D BE DOING

The times below are how long each task takes me right now, with AI doing the heavy lifting where it can.

They total 43.5 hours a month, which is about 11 hours a week at my speed.

It will naturally take you longer for the first couple of months while you learn the Touchy voice. That's completely normal, and I'd way prefer you to be mindful of the details than rush through.

You also won't be doing all of this from week one. We'll start with one or two tasks and add the next once each one is running cleanly.

  • Inbox (about 20 hours a month, our biggest task by far).

    • You triage everything, answer the FAQs using our Claude skill as a starting point, and send anything personal, emotional or clinical straight to me. At first, you'll draft, and I'll check. Once you're confident, you reply directly under your own name.

  • Hub newsletter (weekly, about 4 hours a month).

    • Claude drafts this from the week's forum log, which you will manually feed. You check every fact and every link, edit until it sounds like us, and schedule it in Podia.

  • Main newsletter (weekly, about 4 hours a month).

    • You take my raw notes / a member's story, run our newsletter skill in Claude, then edit hard for tone and accuracy before it goes out to the wider mailing list.

  • Blog posts (about 4 hours a month).

    • Claude turns a video transcript into a draft. You cut anything that reads as AI, check the claims hold up, add the SEO pieces and publish to Squarespace.

  • Check-ins and reporting (about 4 hours a month).

    • A short weekly catch-up with me, plus a monthly report on the numbers that matter: member growth, cancellations, and email stats.

  • Webinar replays (twice a month, about 2 hours).

    • Claude generates timestamps and a description from the recording. You check for errors and get it live within a day of the session.

  • Webinar scheduling (1-2 per month, about 2 hours).

    • Our Claude skill generates the lot: Zoom link, calendar invite, emails, event description. You work the checklist, and triple-check the details that can trip us up (usually the guest's time zone).

  • Webinar takeaway sheets (monthly, about 2 hours).

    • Claude builds four to six one-page resources from each webinar using a skill. You verify every claim and number against what the expert actually said, before any member sees it.

  • YouTube uploads (2-3 videos per month, about 2 hours total).

    • Title, thumbnail, description and tags all come out of AI. You check them, upload and schedule.

  • SOPs (about 1 hour a month).

    • Keeping our checklists in Notion and our Claude files tidy and up to date.

  • Invoicing (about 30 minutes a month).

    • Two or three invoices in Xero, with the figures pulled from an affiliate platform.

MORE ABOUT YOU

You've run an inbox, a marketing system or an admin system before.

  • You know how to triage efficiently, answer a general enquiry professionally and with compassion, meet deadlines, and triple-check important details like links and dates/times.

  • You're confident using AI tools in real daily work, and rigorous about checking what they produce (this is a big one!). Everything AI drafts here gets read, checked and edited by you before it goes anywhere. Experience with Claude Cowork or Claude Code is a real advantage. If you've used another agentic AI tool, I'll train you on ours.

  • And you apply AI with privacy front of mind. We never connect anything to an AI tool that holds private member information.

  • You write and speak excellent fluent English. So much of this job is judging whether a draft sounds right for our audience, so language quality genuinely matters.

  • You're comfortable with topics like sexuality and mental health.

  • You've built and followed a checklist process before. We love a good checklist around here. You'd describe yourself as someone fired up by ticking one off, tightening up an online system, and being a little bit obsessed with detail.

  • Background or experience working with clients in sexology, healthcare, or a related field is an asset, but not a firm requirement.

You'll help people every day. Pointing someone to the right resource in the inbox, getting a webinar replay up with a clear description, sharing a story that lands for someone who thought they were the only one.

This role grows, too. The hours start at 10-12 a week, and I'd like the right person to take on more as we prove the fit.

You choose your own hours, as long as everything is scheduled on time and every email is answered within the timeframe we agree.

(You'll also slowly gather an arse-nal of puns about all things below the belt. There won't be a Dad joke you can't one-up.)

  7. Your pay rate and confirmation that you're applying as an individual working solo (the work cannot be subcontracted out).

  8. Your availability in hours per week, and your time zone.

  9. Anything else you'd like me to know.

What happens next:

I read every application myself, and you'll hear back from me either way.

1. A short task, about 15 minutes. If your application looks like a fit, I'll send you a made-up newsletter draft that our AI produced that isn't ready to go out. You find what's wrong with it and tell me what you changed and why. I'll ask for it back within 48 hours. It's the closest thing to the actual job, and it's how I'll build the shortlist.

2. A video call, about 45 minutes. A proper conversation about the role and how you work. Bring your questions. You're deciding whether you want to work with me as much as I'm deciding the other way round.

3. A paid trial task, 2 to 3 hours at the rate we've agreed. Real work from the role. I'll run this with two or three people, and you're paid whether or not we go ahead. You'll sign a confidentiality agreement first.

4. One reference call. A short chat with someone you've worked for recently.
